Welcome to The Closing Room Studio. By using our services, you agree to comply with and be bound by the following terms and conditions of use. Please review these terms carefully. If you do not agree to these terms, you should not use our services.
Services Description
The Closing Room Studio provides professional meeting space and podcast studio rentals ("Services") to clients on a reservation basis. Our Services include:
Meeting Space
A professional environment for business meetings, client consultations, interviews, and team gatherings.
Podcast Studio
A sound-treated studio with professional recording equipment for podcasts, interviews, and audio content creation.
Associated Amenities
As described on our website, including internet access, display technology, and complimentary refreshments.
Services are provided solely for the time period specified in your booking confirmation and subject to the conditions detailed in this agreement.
Booking and Payment Terms
Reservations
All Services must be reserved in advance through our booking system, by phone, or via email. A reservation is confirmed upon receipt of payment. The Closing Room Studio reserves the right to refuse service to anyone for any reason at any time.
Payment
Payment is required at the time of booking. We accept credit cards, debit cards, and electronic payment methods as specified on our booking platform. All payments are processed securely through our third-party payment processor.
Cancellations and Refunds
Our cancellation and refund policy is as follows:
- 48+ Hours Notice: Full refund of booking fee.
- 24-48 Hours Notice: 50% refund of booking fee.
- Less than 24 Hours Notice: No refund.

User Conduct and Responsibilities
Proper Use of Facilities
Clients agree to use the facilities and equipment in a reasonable and appropriate manner. Any damage to the premises, furniture, equipment, or other property resulting from improper use will be the responsibility of the client.
Conduct
Clients and their guests must conduct themselves in a professional and respectful manner. The following are strictly prohibited:
- Illegal activities of any kind
- Harassment or discriminatory behavior
- Excessive noise that disrupts other building occupants
- Smoking or vaping within the building
- Unauthorized consumption of alcohol
- Bringing pets (except for service animals)
Compliance with Rules
Clients must comply with all posted rules, instructions for equipment use, and directions from staff. Failure to comply may result in immediate termination of services without refund.
Access and Security
Clients may only access the facilities during their reserved time slot. Sharing of access information or allowing unauthorized persons to enter the premises is prohibited.
Intellectual Property
Client Content
The Closing Room Studio makes no claim to the intellectual property rights of any content created, recorded, or discussed on our premises by clients. Clients retain full ownership of their intellectual property.
Our Content
The Closing Room Studio's name, logo, website, and marketing materials are protected by applicable intellectual property laws. Use of our branding or materials without permission is prohibited.
Recording Consent
Clients are responsible for obtaining appropriate consent from all participants before recording conversations, interviews, or podcast content on our premises.
Limitation of Liability
Personal Property
The Closing Room Studio is not responsible for loss, theft, or damage to personal property brought onto the premises. Clients are advised to secure their valuables at all times.
Data Loss
While we maintain high-quality recording equipment, we are not responsible for any data loss, recording failures, or technical issues that may occur during your session. Clients are advised to back up their recordings promptly.
Service Interruptions
In the event of power outages, internet disruptions, equipment failure, or other circumstances beyond our control, we will make reasonable efforts to address the issue or reschedule your session. Our liability is limited to the cost of the affected booking.
Termination of Services
Indemnification
Clients agree to indemnify and hold harmless The Closing Room Studio, its owners, operators, employees, and affiliates from any claims, damages, or expenses (including legal fees) arising from the client's use of our services or violation of these terms.
Governing Law
These terms shall be governed by and construed in accordance with the laws of the State of New York, without giving effect to any principles of conflicts of law.
Dispute Resolution
Any dispute arising from these terms or the use of our services shall be resolved through negotiation, mediation, and, if necessary, arbitration in Broome County, New York.
Severability
If any provision of these terms is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that the remaining provisions remain in full force and effect.
Modifications
The Closing Room Studio reserves the right to modify these Terms of Service at any time. Changes will be effective immediately upon posting to our website. It is your responsibility to review these terms periodically.
